Job Description

MISSION:

As a Receptionist, I guarantee the availability and quality of administrative services and office operations to ensure the satisfaction of teammates. Give the best image of Decathlon Vietnam to internal (teammates) and external (customers, partners & visitors, etc.) Maximize the efficiency of team members by providing them with the best security, office tools, facilities, and services for them and their relevant customers/ partners. Bring the happiness mode to our teammates.

RESPONSIBILITIES:

1. FRONT DESK:

  • Welcome teammates, and visitors in a warm and friendly manner, and answer any questions teammates/visitors have to bring a good image to the Admin team & Company.
  • Answer and direct phone calls in a polite, friendly manner, and professional. Take a message or forward a phone call.
  • Maintain reception area, and balcony in a clean, tidy manner & professionally at all times.
  • Manage the record of Visitors/suppliers in & out.
  • Control the safety in the office by stopping strangers get in the office without records and name badges.
  • Manage visitor visit lists to welcome them in a professional way on TV.
  • Receive deliveries, sort and distribute incoming mail or teammate. Manage the courier, shipper in and out.
  • Always apply 5S in the reception area to keep professional, efficient, and safety.


2. OPERATIONS:

  • Operate standard office equipment on a regular basis in the Receptionist area (TV, flowers, reception‘s lights).
  • Manage Birthday vouchers, fingerprint, locker, and welcome kit.
  • Manage Phone card (open the sim card and distribute the phone code monthly).
  • Manage staff cards, name cards, parking cards, elevator cards, order stamps, and name badges for teammates & Suppliers.
  • Manage transportation register (Mai Linh, Vinasun, Grab, Be).
  • Manage admin Warehouse (order & arrange), always make sure the warehouse is in 5S practice.

3. MANAGE THE ADMIN PAGE

  • (Temporary) Manage Coffee machine (work with supplier and make sure its fixed when broken), plants ordering (when necessary) in the office.
  • Manage suppliers with high levels of demanding for the best service and efficiency.

REQUIREMENTS:

  • You are passionate about your sport and practice it regularly.
  • You have excellent communication skills.
  • You are comfortable with public speaking.
  • You are dynamic and have a high sense of responsibility.
  • You have a good capacity for the organization.
  • You have a sense of service and team spirit.
  • You speak fluent English.
  • You have at least 1 year of relevant working experience.
